What We Collect
To provide safe and effective services, we collect information such as:

● Information about your or your child’s learning, behaviour, and emotional wellbeing.
● Payment information.
● Notes from sessions, reports, and test results.
● Information from schools, teachers, or health providers (with your consent).
Sometimes, we may also collect information from publicly available sources or other professionals involved in your care.
How We Keep Information Safe
● All personal information is stored securely in encrypted digital platforms (Cliniko for client records, Heidi for secure note-taking, Novopsych and Pearson Q-Global/Q-Interactive for assessments).
● These systems meet international privacy standards.
● Paper records are kept in locked files.
● Only CEPS staff and contractors who are bound by confidentiality agreements can access your information.
● Information no longer needed is securely destroyed.
Sharing Information
We will not share your information without your consent, unless:
● We are required by law.
● There is a serious and immediate risk of harm to yourself or others.
● We are asked for information under a lawful process (e.g., a court order).
Consent and Guardianship
● If you are under 13, we usually ask your parents or guardian to sign consent.
● If you are 13 or older and understand what an assessment involves, you may be able to give consent yourself. This is called Gillick competence.
● If parents are separated, or guardianship is shared, all legal guardians must give consent before an assessment can go ahead.
● At CEPS, we encourage involving whānau for cultural, emotional, and safety reasons.
Purpose of Consent
By giving consent, you understand that:
● CEPS will collect and store personal information about you or your child.
● This information will be used to provide assessments, therapy, and reports.
● Reports may be shared with schools, teachers, or health providers — but only with your permission.
● You have the right to withdraw consent at any time, though this may mean services cannot continue.
