At CEPS, we are committed to providing high-quality psychological services to children, families, and schools in the Waikato region. No-shows, late arrivals, and last-minute cancellations affect not only our psychologists but also other families and schools seeking support. Please take a moment to read and understand our cancellation policy.

Appointment Cancellation
When you book an appointment with CEPS, that time is reserved just for you. In order to be respectful of other clients and ensure we can offer appointments to those on our waiting list, we ask that you notify us as soon as you are aware that you need to cancel or reschedule.

For most appointments, we require at least 48 hours' notice before the start of your scheduled appointment time. This allows us to offer that time to another client in need.

Late Cancellations and No-Shows
A late cancellation is defined as cancelling with less than 48 hours' notice. A no-show is when a client misses an appointment without providing any notice.

• For initial consultations, a second or subsequent late cancellation or no-show may incur a fee of 50% of the consultation fee. This is at the discretion of your psychologist.

• For follow-up appointments, a late cancellation or no-show may be counted as one of your allocated follow-up sessions. This will be discussed with you, and you will receive written confirmation.

Exceptions
We understand that unexpected situations, such as illness or emergencies, can arise. Please contact us as soon as possible if this is the case. We are happy to discuss rescheduling and will be flexible where reasonable.

Arriving Late
If you are more than 15 minutes late for your appointment, we may not be able to proceed with the session, and it may be recorded as a no-show.

Courtesy Reminders
CEPS sends automated email or text reminders prior to appointments. However, it remains your responsibility to manage your booking.
